This year’s gathering, themed Innovative Persistence in Action: Supporting Sustainable Patient Navigation Across the Continuum, marks our annual national meeting of the ACS NNRT membership, where we will deepen our collective focus on priority areas to advance patient navigation across the cancer continuum.

2025 ACS NNRT Annual Meeting

We’re looking forward to convening our members from September 17-19 in Washington, DC for the 2025 ACS National Navigation Roundtable (ACS NNRT) Annual Meeting. Please read on for important information about our speaker guidelines, utilizing your complimentary Lyft pass, and updates to our reimbursement process.

Reimbursement

The American Cancer Society is covering all reasonable travel expenses for our 2025 American Cancer Society National Navigation Roundtable (ACS NNRT) Annual Meeting.  A digital copy of our Volunteer Expense Form (linked below), along with copies of all original receipts must be submitted along with the completed form within 30 days following the meeting using the submission link below. Please see below for our ACS Roundtable Volunteer and Staff Travel Policy to learn more about what is and isn't eligible for reimbursement. We will send reminders about reimbursement following our meeting.

Speaker Guidelines

Presentation slides are due by Wednesday, September 10, 2025. If you have any questions, please contact the ACS NNRT staff team at [email protected].

Presentation Guidelines

We require a disclosure slide at the beginning of your slide deck stating any relevant disclosures. If you do not have anything to disclose, please still include a slide that states so. Disclosures should list any relevant personal or financial relationships including but not limited to affiliations, grants, research support, or other financial or material support.

All sources, including images, MUST be referenced. If using images you do not own or personally create, please assume that the image is copyrighted.  You will need to purchase an image license to use the photo or you cannot use it in your presentation. 

All PowerPoint presentations must be in a 16:9 (widescreen) format.

Please use black Arial font. Use color for emphasis only and consider if those accent colors will be eligible throughout the room. Text should be at a minimum of 24 pt to ensure it’s readable for the audience. 

Avoid overloading your presentation with unnecessary images. JPG images are the preferred file format for inserted images. 

Avoid using slide animations or transitions.

  • The 2025 ACS NNRT Annual Meeting, Innovative Persistence in Action: Supporting Sustainable Patient Navigation Across the Continuum will be held on at the Grand Hyatt Washington on Independence Level (5B)
  • Dress code: The dress code for the event is business casual. The meeting rooms can be chilly, a light sweater is also a great idea.

Steering Committee Dinner

The ACS NNRT will be hosting a Steering Committee, Task Group Co-Chairs and invited guests. Dinner from 6:30pm to 8:30 pm on Wednesday, September 17, 2025 at Declaration A (Declaration Level (1B)), Grand Hyatt Washington.

Ground Transportation & Complimentary Lyft Pass

The meeting hotel is approximately 15-25 minutes from DCA or 40-60 minutes from IAD by car, depending on traffic and time of day. Both airports also have train lines that run regularly to and from the city (DCA– Blue or Yellow Lines, about 25 minutes, IAD – Silver Line, about 60 minutes). We've provided you with a Lyft Pass to cover travel to and from your home airport, as well as between the Washington, DC airports and the hotel. The pass has been added directly to your Lyft account using your mobile number. To view and use your pass, follow the steps in the attached document. If you choose to use another form of transportation (cab, train, or Uber), the costs incurred can be reimbursed using the process outlined in the Volunteer Reimbursement Guide.

Safety and Security

As you've likely seen in the news, there is an increased police and military presence in Washington, DC. Please know that your safety and security are top of mind. For us, that means: 1) reassuring participants that we understand if you feel it best to cancel your registration and 2) if you have any concerns or need assistance, please reach out to an ACS staff member immediately.

Please be aware that the front doors to the hotel will be locked every day from 10:30 PM – 6:00 AM.
